1. Who we are
Jobmate Ltd is the data controller for personal data collected through this website. Jobmate Ltd is a company registered in England and Wales (company number 11691025), with its registered office at 86 Tettenhall Road, Wolverhampton WV1 4TF, United Kingdom, trading from Regent House, Bath Avenue, Wolverhampton WV1 4EG. Questions about this notice, or about your data, go to support@jobmate.cloud.
When a customer uses the jobmate app to run their business, the customer is the data controller for that content and Jobmate Ltd is the data processor. That relationship is governed by our terms and conditions (S16).
2. What this notice covers
This notice covers the marketing website at jobmate.cloud: visiting it, the forms on it, asking for a demo and contacting us. Signing up for and using the jobmate app happen at app.jobmate.cloud and are covered by our terms and the app’s own notices.
We do not use analytics, advertising or tracking tools on this site. If we ever add any, we will update this notice and the cookie policy first, and anything that needs your consent will not load until you give it.
3. What we collect, why, and on what basis
Visiting the site
Vercel, our hosting provider, records the technical information any web server needs to deliver a page: your IP address, the page requested, the time and your browser type. We use this to run the site securely and to diagnose faults (legitimate interests). We do not use it to identify you.
Fonts and images
The site’s typefaces and images are served from our own hosting with the rest of the site, so loading them sends nothing to a third party.
How our forms work
Every form on this site sends what you type to our own server, which emails it to our team and sends you one confirmation email, through Brevo. We record the page the form was on and any campaign tags in its link. To keep bots out, the forms use Cloudflare Turnstile: when you start filling one in, Cloudflare checks your browser, which means it processes your IP address and technical information about your browser, under its own privacy policy (legitimate interests: keeping spam out of our inbox). Nothing from Cloudflare loads until you start filling in a form.
Asking for a demo
The form on the demo page asks for your name, work email, company, team size and main need, an optional phone number and note, and whether you want occasional product emails. We email your answers to our sales team so they can reply with times and follow up about jobmate. That is our legitimate interest as a business-to-business supplier, and you can object at any time and we will stop. If you tick the box, we send the occasional product email on the basis of your consent; every one has an unsubscribe link. Demo requests are kept in our email system; we do not copy them into any other sales system.
Enquiring about the partner programme
The form on the partner page asks for your name, work email, company, an optional phone number and a line about your business. We email it to our team to reply to your enquiry (legitimate interests).
Signing up and billing
“Start free trial” and “Log in” take you to the jobmate app at app.jobmate.cloud. Subscriptions and payments are handled by our payment gateway and by Stripe, which the app uses for card payments; card and payment details are entered into and held by those providers and never touch our servers. We keep the records we need to account for tax and VAT on every transaction (legal obligation) and to run your subscription (contract).
Emailing, phoning or messaging us
If you contact support@jobmate.cloud, sales@jobmate.cloud, the office numbers, or use the form on the contact page (your name, work email, topic and message), we keep the correspondence for as long as we need it to deal with your enquiry and any follow-up (legitimate interests). A message with the topic Careers is kept only while we consider it.
4. Who receives personal data
We never sell, rent or exchange mailing lists, and we do not share commercial or technical data with our partners unless we have your prior approval. Personal data reaches only the providers below, and anyone the law requires us to share it with. Vercel, Brevo, Cloudflare and Amazon Web Services process it on our instructions.
| Provider | What for | Where |
|---|---|---|
| Vercel Inc. | Hosting and delivery of this website | Global edge network; provider safeguards apply |
| Brevo (Sendinblue SAS) | Sending the emails our forms trigger: the notification to our team and your confirmation | EU |
| Cloudflare, Inc. | Turnstile bot check on our forms, loaded only when you start filling one in | Global network; provider safeguards apply |
| Amazon Web Services | Hosting for the jobmate app and customer data | Provider safeguards apply |
| Stripe | Card payments made in the jobmate app’s customer portal | Provider safeguards apply |
Where a provider processes data outside the United Kingdom, we rely on the UK’s adequacy regulations, the UK Extension to the EU–US Data Privacy Framework, or the International Data Transfer Addendum to the EU standard contractual clauses.
5. How long we keep it
- Server logs: for as long as needed to keep the site secure and diagnose faults, then deleted.
- Demo, partner and contact-form leads: for as long as we are in contact about jobmate, then reviewed and deleted when no longer needed.
- Other emails to sales@ and support@: for as long as we are in contact about jobmate, then reviewed and deleted when no longer needed.
- Billing records: for the period tax law requires.
6. Email
We send product emails only to people who asked for them, every one is clearly marked as coming from us and carries an unsubscribe link, and we never send bulk unsolicited email. We may email existing customers, and people who have enquired, about products or services we provide directly.
7. Your rights
Under the UK GDPR you can ask us to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased where there is no good reason for us to keep it;
- restrict or object to our processing, including any direct marketing;
- receive the data you gave us in a portable format;
- withdraw consent at any time where consent is the basis we rely on, without affecting what was done before.
Email support@jobmate.cloud and we will respond within one month, free of charge. If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk (opens in new tab).
8. Cookies
Our own code sets no cookies. The only thing it stores on your device is a strictly necessary timestamp in session storage after a failed page load, explained in the cookie policy. The cookie policy lists every third-party script and service the site loads, what each one does and when it loads.
9. Security
Customer data in the jobmate app is held on Amazon Web Services in a serverless environment and backed up in AWS systems. Access is limited to the people who need it to run the service. The security page has the detail.
10. Children
This website and the jobmate app are for businesses and their staff. We do not knowingly collect data from anyone under 16.
11. Changes to this notice
We will update this notice when our processing changes and show the date at the top. This version replaces the notice published on the previous jobmate.cloud website, which described that site’s cookies and email subscription service.
